Starter pack · Government, associations & foundations

Answer the public and members, log cases and follow them up — with officers still making the decisions

A ready-made pack for subdistrict administrative organisations, municipalities, public service counters, trade associations and foundations. Four AI agents, already assembled: answering questions from the regulations and notices actually in force, with the citation attached; logging requests and complaints and telling the applicant where they stand; looking after members and donors; and drafting the reports needed for meetings and public disclosure. Every approval and every ruling still belongs to the officers and the board.

A fit if you…

  • Subdistrict administrative organisations, municipalities or public service counters with 2–10 front-desk officers, taking the same enquiries over and over by phone, LINE and walk-in
  • Trade associations, cooperatives or professional bodies with 200–5,000 members, handling renewals, dues, announcements and the annual meeting with 1–3 staff
  • Foundations, NGOs and registered charities with a lot of donors, issuing receipts, sending thank-you letters and reporting to the board and supporters on a cycle

A day with this pack running

  1. 07:30The agent summarises yesterday's intake (new requests / cases past their deadline / cases waiting on an officer) into the chief administrator's or manager's LINE before the office opens
  2. 09:00A resident asks on LINE about renewing the signboard tax and what documents are needed. AI answers from the regulation and the notice currently in force, naming the document and the clause it relied on
  3. 10:30Someone reports a street light out, sending a photo and a location in chat. The system opens a case reference, routes it to the public works division by case type, and tells the applicant how many working days the answer will take
  4. 14:00Forty association memberships are close to expiring. The system drafts the renewal reminder with the ways to pay; an officer checks the draft and sends it once. Anyone who pays gets a receipt automatically
  5. 16:30Public works records the street light as fixed. The system tells the applicant the case is closed and attaches the after photo, and writes every step to the audit log for later review
  6. 17:30Weekly statistics on cases opened and closed, donations received, and the items needing a decision are drafted into the meeting papers, waiting for the secretary to check before they go to the board

What is in the pack

4 AI Agent already assembled

Takes chat from LINE OA, Facebook and the website and answers on procedure, required documents, fees, deadlines and member benefits — using only the regulations, notices and resolutions the organisation has approved. Every answer names the document and the clause it relied on, so the person asking and the officer can both check it.

Questions not covered by the regulations, complaints about an officer, and anything needing discretion go to the responsible officer with a summary of the conversation.

Takes requests and complaints from every channel under a single case reference, classifies them and routes them to the responsible division, counts the days against the deadline the organisation set, warns officers as the deadline nears, and updates the applicant every time the case moves.

Accepting or declining a case, approving it, and the final answer belong to the authorised officer. The system only prepares the draft and the evidence.

Keeps the member and donor register in one place, sends renewal reminders on cycle, issues the receipt and the thank-you letter the moment a payment or donation lands, records each person's consent and preferred channel, and prepares the details donors need for their tax deduction.

Every message to a member or a donor is approved by an officer before it goes out, and admitting or removing a member is a board resolution.

Pulls together cases opened and closed, processing times, backlog, membership numbers and donations into draft meeting papers and public reports in the organisation's own format, plus a dashboard the board and executives can open themselves.

The secretary or an executive checks the draft and decides which information is published. The system never publishes on its own and never discloses personal data.

All included

What is in the box

  • A template library of regulations and notices for AI to answer from, with version and publication date tracked, so it never answers from a superseded edition
  • Intake forms for requests and complaints in chat and on the website + a routing map by case type + response deadlines the organisation sets itself
  • An officer screen: approve answers, assign work, record outcomes, and read the audit log of who did what and when, for every case
  • A member and donor register with templates for receipts, thank-you letters and renewal reminders
  • A PDPA document set for public bodies and non-profits: privacy notice, record of processing activities, and consent forms
  • A dashboard and meeting report templates, plus a public statistics page with personal data stripped out, two rounds of officer training and support for the first 3 months

Go live

Live in 2–3 weeks

Step 1 / 3 · Collect the regulations, case types and owners

Week 1

  1. 1Week 1

Collect the regulations, case types and owners

Gather the regulations, notices, fees, request types, response deadlines and the map of which case goes to which division, and load them into the pack's templates. Decide what AI may answer and what must go to an officer, and sign the PDPA documents.

  2. 2Week 2

Connect the channels and test with officers

  3. 3Week 3

Go live and tune on real cases

-60%

repeat calls and walk-ins

From public service counters we have worked with, comparing the month before and the month after go-live, because questions about documents and procedure get an answer in chat with the citation attached

100%

of cases with a reference and a status to follow

Around 30–40% of cases arriving by LINE and phone used to have no reference at all, so they went missing and answers ran late. Now every case has an audit log and the applicant can see the status

every meeting

papers ready without compiling by hand

Officers used to spend 4–6 hrs a cycle on statistics and meeting papers. Now the draft is automatic, and all that is left is to check it and decide what gets published

Price and scope

One price, paid once to set up all four agents within the fixed scope described here, plus a small monthly fee for model usage and support — together about what one part-time officer costs. The cost does not rise with the number of residents or members who write in, and we prepare the terms of reference in the format your procurement process uses.

Not included

  • A new correspondence registry, accounting or membership system (we connect to what you have, where it has an API or can export files)
  • Issuing official documents with legal effect — permits, certificates or rulings — which must come from the authorised officer
  • Work that has to connect to another agency's central system, or organisations with many branch offices operating under very different regulations

Where you go when you grow

When the organisation also needs phone calls and email answered, extend into the “Customer service on every channel” bundle. When PDPA audit paperwork and data governance need putting on a proper footing, move to the “Governance and ongoing care” bundle — or use the Design service to build a workflow specific to your organisation from the start.

Safety in this business

  • Everything done in the system — AI's answers, the routing, the approvals and any edit to the data — is written to an audit log of who did what and when, reviewable case by case, to support internal audit and official information requests.
  • Data on residents, members and donors is held in storage the organisation controls, with access separated by role, never used to train models. Public reports have personal data stripped out before publication, in line with PDPA.
  • AI answers only from the regulations and notices in force, always with the citation, and never issues a ruling, approves anything or declines a case on its own. The wording is deliberately plain, so it works for older people and those not comfortable with technology, and there is always a way through to an officer.

FAQ for Government, associations & foundations

Could AI get a regulation wrong and cause damage to the organisation?

AI answers only from the regulations and notices the organisation approved for the library, and always attaches the document name and the clause. If a question is not in the library it says an officer will get back to you rather than guessing. Every answer can be traced in the audit log, and the library can be updated the moment a regulation changes.

Can a public body procure something like this, and does the data leave the organisation?

We prepare the terms of reference and the deliverables list in the format your procurement process uses. The data is held in storage the organisation controls, and if you want the model to run entirely on the organisation's own machines, a private LLM option can be added when we agree the scope.

Will older residents and people who are not comfortable with technology be able to use it?

It runs on LINE, which most people already use, in plain language, and it accepts voice messages and photos. There is a button to reach an officer at any time. For walk-ins, officers open the case on the same screen, so every channel ends up in one place.

We are a small association with one member of staff. Is it worth it?

The pack is designed to be run by one person, because what needs maintaining is plain Thai documents and drafted messages that only need checking before sending. Renewals, receipts and board reports usually take up more than half of that person's time; take that away and the time goes back into actually looking after members and donors.

How do we start?

A free 30-minute call, no obligation. We ask what the public or your members ask about most often, which channels they use, and what form your regulations and registers are in. If the pack fits, we send the scope and the 3-week schedule the next day.

Give the public and your members an answer straight away, with officers still deciding everything

A free 30-minute call: tell us which questions come up over and over and which cases slip most often. We will tell you how much of it this pack covers, and whether we can prepare the scope documents to match your procurement process.
