Agentic Workflow Design

Design work that flows on its own

Pick one process and lay it out so an AI agent takes the job in, does it, and passes it on. The steps that are not needed come out; people stay at the decisions. You get the blueprint and a prototype you can watch running before anything is built for real.

Timeline

1–3 weeks per workflow, depending on how many systems have to be connected

Your time

The one person who owns the job gives about 1–2 hours a week, for interviews, design reviews and trying the prototype

LIVE DEMO

1 · Work arrives

Admin writes it down, sales picks it up, the manager sends it back, edits go round. An easy job takes half a day because it waits in queues, not because it is hard.

2 · The AI agent does it

  • A map of the work as it is today (As-is)
  • The blueprint for the new workflow
  • The human approval points (human-in-the-loop)
  • Quality gates and a rollback plan
  • A data map and PDPA rules

3 · You just approve

Every blueprint has a human approval point for work that touches money or customers. We do not design AI that reaches a customer without a person seeing it.

Who it is for

Is this service right for you?

A fit if you…

  • Businesses that know which job hurts most — quotes, appointments, reconciliation — but cannot picture where AI would take over
  • Teams who have been through an audit and want to see the top-ranked workflow take shape before paying to build it
  • Owners and managers who fear AI slipping up with money or customers, and want to see the approval points and quality gates first
  • Companies with their own IT team or vendor who need a clear blueprint to build from

Not yet, if…

  • Not sure which job to start with — do the AI Readiness Audit first, to rank payback across the whole company
  • Want a working system straight away without reviewing a design first — see Implement & Coach, which has the design built in

What it fixes

What this service unlocks

Admin writes it down, sales picks it up, the manager sends it back, edits go round. An easy job takes half a day because it waits in queues, not because it is hard.
Someone on the team drafts with ChatGPT, then copies and pastes it into the system by hand. The steps did not disappear, they just moved.
No one has defined where a person must check or what sends a job back, so everything stays manual exactly as before.
A vendor prices a large build off a slide deck, and nobody has yet seen how the work would actually flow with your own company's data.

What you get

Real deliverables you can hold

Every step of the chosen job: who does it, how long it takes, where it waits, where it goes wrong — measured as your baseline numbers.
A plan that says exactly what the agent does, what it connects to (LINE OA, Sheets, ERP), who it hands to, and which steps are cut.
Which cases a person must confirm first — discounts over the threshold, money, customer data — naming the person and the channel they approve in.
The checks the system must pass before anything goes out, what gets bounced back to a person, and how to switch off and return to the old way immediately.
Which pieces of data may go into AI, which must be masked or must never leave the company, and who has access at each step.
The job working end to end on mock data or old data of yours, so your team can click through it before deciding to build.

Steps

How it runs step by step

1–3 weeks per workflow, depending on how many systems have to be connected in total

Step 1 / 4 · Pick the job and study it on the floor

2–3 days

  1. 12–3 days

Pick the job and study it on the floor

We agree on one process, then sit with the team as they work and collect the documents, chats and files they use.

  2. 23–5 days

Draft the blueprint and the decision points

  3. 33–5 days

Build the prototype on sample data

  4. 41–2 days

Hand over and decide what comes next

Sample of the output

An extract from a blueprint: quotes from chat

Taken from a real blueprint with system names made generic. It shows who does each step and what the system must pass before it moves to the next one.

Read the customer chat, pull out items and quantities

Quality gateEvery item identified; if any are missing, ask the customer

Pull prices from the price file, check stock in the system

Quality gatePrice is in the current file and stock is sufficient; if not, tell sales

Draft the PDF quote with the terms

Review and approve before sending

Budget

How we charge — straight up

Priced per workflow by complexity: how many steps and how many systems have to be connected. Paid once, when the blueprint and the prototype are delivered — with no commitment to have us build it.

Solo / small shop (1–5 people)

A single job across one or two systems, LINE plus Sheets say — about one part-time employee for a month

SME (5–50 people)

A cross-department job across 2–3 systems with several levels of approval — about one full-time salary

Mid-sized to enterprise (50+ people)

Work that has to reach ERP/CRM and pass IT and legal, quoted per project, usually as a set of several workflows

Included in the price

  • A map of the current work with baseline numbers
  • The complete blueprint (agent / systems / approval points / quality gates / rollback)
  • A data map and the PDPA approach for that job
  • A prototype running on sample data, with one round of revisions
  • A budget and schedule estimate for the real build, for us or for your own team

Guarantees

Safe — you can always back out

Every blueprint has a human approval point for work that touches money or customers. We do not design AI that reaches a customer without a person seeing it.
The design states which data may go into AI and which must be masked, and the prototype runs only on mock data or data you have cleared.
At the end of this stage the blueprint is yours. Build it with us, with your team, or shelve it. Nothing commits you to the next stage.

FAQ

Before you decide — ask anything

How is a blueprint different from a normal requirements document?

A requirements document says what the system should be able to do. Our blueprint says, step by step, who does it (AI or a person), which systems get touched, what has to pass, and who it bounces back to if it fails — with a prototype you can actually click, not just paper.

What data or systems do we have to prepare?

Only samples of past real work — chats, documents, the files you use — and read access to the systems involved. The prototype runs on mock data or old data with customer names removed, so you do not have to open the live systems to us yet.

We already have an IT team or a vendor. Can we build from this blueprint ourselves?

Yes. It is written so a technical team can pick it up directly: systems, data and quality gates are all specified. Plenty of companies have their own team build it and ask us to review before go-live, which is usually cheaper and leaves the team understanding their own system.

How many workflows at a time, and which job should go first?

Start with one — the most painful job with the lowest risk — so the team sees a real result before you widen. If you cannot choose, we will point at one in the free 30-minute call, or run an audit to rank the whole company.

Once the design is done, how long until the real system?

A job that has been designed and prototyped is usually built for real within about 30 days, because the approval points, the quality gates and the integrations are already agreed. Most of the time nothing in the design has to change during the build.
