Document Intake Agent
Documents keyed into the system with nobody keying
- One inbox for documents from email, LINE and uploads
- A confidence threshold per document; anything below it goes back to a person
- Records written into your existing system with a link to the original, traceable line by line
Where a person decides
Documents the system is unsure about, amounts over the ceiling you set, or a new counterparty must pass a person before they are recorded.
-60 to -80%
Hours spent keying documents
From the projects we have run: staff move from keying every document to checking only the ones the system is unsure about, around 10–20% of the total.

Which back office this bundle fits
If your team still touches every ticket, this bundle turns the people keying data into the people checking it
- Factories, wholesalers and shops taking orders and POs by email, LINE and phone, then keying them into the system a second time
- Service businesses with appointments, queues or daily rounds — clinics, repair shops, field crews, service centres
- Companies with dozens of documents arriving a day (bills, delivery notes, contracts, forms) and back-office staff keying and chasing them
We usually start with
Start with Document Intake or Order & PO Intake — they give the clearest measurable results and the data the rest of the bundle runs on
Not sure which job pays off first — start with a small 1–2 week Audit, or a free 30-minute call
What the work looks like
What your team sees every morning
The order the agent drafted for approval, and that day's back-office summary
Stock deducted and customers notified automatically · every purchase order still waits for a person to confirm
Mock sample — names and numbers are made up. The real one follows your business.
FAQ
What business owners ask before they start
Our system is an old ERP, or we still run on Excel. Can you connect to it?
In almost every case. If there is an API or a database we connect directly; if not we use import files, Google Sheets, or have the agent type into the existing screens. In the first conversation we ask to see the systems you use, so we can tell you clearly how we would connect and how long it takes.
If the AI reads a document wrong, who is responsible?
Everything in this bundle has a confidence threshold: anything below it, or anything that touches money, goes to a person first. Every record keeps the original attached and can be traced back. We measure the error rate as a number every month and tune the thresholds with your team until it sits at a level you accept.
Could customer data, prices and contracts leak out?
We design along PDPA lines from day one, setting out clearly which data may go to the AI and which has to stay inside the company. For sensitive documents such as contracts or pricing, you can use a model that runs inside your organisation. Every access is logged: who looked at what, and when.
Do we have to do all six at once?
No, and we would not recommend it. Usually you start with the single one that hurts most, run it for real and measure for 30–45 days, then add the next. Because they share data, the second is normally much faster than the first.
Will our back-office team lose their jobs?
From the projects we have run, the same team handles more work without new hires, and shifts from keying to checking and looking after customers. We coach the team to read the agent's work, adjust the rules themselves, and own the system after we hand it over.
Start with the back-office job that hurts most
A free 30-minute call, no obligation. We will help you see which part of your back office should go to an agent first, how it connects to your existing systems, and what number you will measure in the first 30 days.
